Project Logistic Officer

Job Summary:

The Project Logistics Officer (PLO) will ensure overall smooth logistical execution of the research programme. The PLO will support the PIs to ensure that all logistical and operational aspects of research projects, including smooth coordination of institutional admin staff and field activities, office space and rentals, procurement of field and office supplies (including procuring token gifts for study participants), transportation of research and field teams. This role is critical for supporting timely and efficient day to day research operations support across multiple sites.

Key Responsibilities:

  • Establishing and maintaining the research office space (including any rental agreements and supplies needed for the execution of the research project)
  • Organize safe transportation for all the project staff and teams including the day to day field activities. Manage and oversee all aspects of vehicle hired for the project including their rental agreements, maintenance of vehicles etc to ensure reliable and safe transportation of the project teams to and from the field.
  • Oversee and manage the drivers, their conduct (esp towards the female staff and within the communities where the project activities).
  • Ensure drivers adhere to the required level of conduct and appropriate behavior (both driving and interaction with research staff). Have drivers replaced in case of persistent lack of set standards.
  • Plan and oversee any logistical aspects of the project and support the PI and the Project Manger to successfully navigate any operational challenges.
  • Oversee and support research activities, eg, secure venue and all logistics of training and supervision Oversee, plan, and execute all aspects of visits of international colleagues and partners visiting Pakistan during the course of the research grant. This will include travel and accommodation and secure/safe transportation while in Pakistan.
  • Manage procurement of research materials, supplies, and services in compliance with the needs of the project and in line with the institutional guidelines.
  • Support any needs of coordination/facilitation the PI and Project Manager may need pertaining to the health systems and local primary health care engagement and securing any approvals by the provincial and district level authorities.
  • Maintain record of expenses and records of procurement, inventory, and logistics transactions.
  • Liaise with vendors, team leads, field teams, and administrative staff to ensure completion of research activities timely and efficiently.
  • Any other task assigned by the PI or Project Manager.
  • Line management of this position will be the PI through the Project Manager.

Qualifications, Experience and Skills:

  • No specific educational or qualification background is required of this senior position. Exceptional ability to foresee, plan and execute all logistical aspects for the research programme is the requirement for this position.
  • At least 20 years of experience of supporting complex internationally funded collaborative research projects with large and multi-disciplinary teams interfacing with health systems and community settings is required.
  • Experience of having managed at least 5 internationally funded research programs of almost 4 years minimum duration of each research grant.
  • Exceptional organizational and multitasking abilities.
  • Understanding of all procurement and logistics procedures in research or nonprofit settings that are asked for by the institution.
  • Excellent communication and coordination skills.
  • Exceptional problem-solving skills and work ethics.
  • Ability to work under pressure and demanding circumstances within international collaborative research projects.
